Maintenance, Cleaning, and Space Updates

Maintenance

The Gies facilities team manages and coordinates the maintenance and construction of College spaces including buildings, meeting spaces, and the research and learning facilities.

  • To report a maintenance issue, contact facilities@business.illinois.edu and include a detailed description of the issue (i.e. location, when it was first noticed, photos, etc.).
  • Gies facilities will contact a BSW or the appropriate trade for assistance.
  • Public spaces are reported to Gies facilities.
  • Departments submit work orders for their spaces (example-tripped circuits, additional cleaning needs, office refresh projects).

Cleaning Schedules

Offices, Conference Rooms, and Breakout Rooms:
Trash Removal - Tuesdays
Vacuuming - Split between pay week and non-pay week on Thursdays. As needed in conference rooms and breakout rooms.

Classrooms (as of April 2024):
Cleaned - Mondays, Wednesdays, Fridays
Trash Removal - Mondays, Wednesdays, Fridays

Space Updates

The Facilities team works alongside the Office of Marketing & Communications (MarCom) to manage branding throughout Gies Business buildings. Units and departments must get approval from the Facilities team before making updates to any space. When appropriate, MarCom and Financial Management Partners will be involved as noted below. This helps the College prioritize timelines with vendors and campus Facilities & Services, manage budgets, maintain consistency throughout buildings, and enhance branding efforts.

Budgets

Updates must be factored into your fiscal year budget. Plan ahead for these expenses so they can be submitted as part of the unit budget for the upcoming year. Projects require planning at least six months ahead to ensure they’re completed within the allocated fiscal year.

Space Update Request Form

Updates must be initiated by submitting a space update request form which will put your project through the proper approval and budget processes. Regardless of the space, units must submit a space update request to get started. No updates should happen until obtaining approval through the request form.

Office Spaces
  • Examples: personal offices or shared office spaces
  • May include updates to furniture, paint, or flooring.
  • Updates will be managed by the unit. This allows the unit to coordinate schedules and provide access to offices.
Unit-specific Public Spaces
  • Examples: unit lobby areas, unit hallways, conference rooms, or any other space used by
    external audiences (prospective families, alumni, donors, corporate partners, etc.)
  • May include updates to furniture, paint, flooring, floorplan, signage, art, photos, etc.
  • All updates must be managed by MarCom in collaboration with Facilities and Financial Management Partners to align with environmental branding guidelines and ensure consistency throughout Gies Business buildings.
  • Timing of unit-specific updates is at the discretion of the Dean’s Office, Facilities, and MarCom due to the prioritization with other projects.
  • Updates take time to plan and depend on timelines outside our control (manufacturing lead times, shipping, etc.). Work may need to be planned during breaks (fall, winter, spring, or summer) to avoid disruption of classes, which will impact timeline as well.

Units must adhere to environmental branding guidelines when making updates to any space.
