Room Reservations
Gies College of Business space and room reservations may be made by Gies employees through Virtual EMS. Review Space Use Policies and Safety & Emergency Procedures before reserving space.

Employee Reservations
- EMS (reservation system used by Gies) access is given to staff once training has been completed. New employees may contact facilities@business.illinois.edu to sign up.
- Card Access is provided to full-time Gies faculty and staff. I-Card access allows entry into BIF conference rooms, breakout rooms, and interview rooms. For those teaching/using classroom technology, i-Card access is used to open the classroom podium.
- Kitchenette keys are checked out from the facilities department. Keys for events using the Deloitte Auditorium, catering room, and electrical boxes in the atrium are checked out per event through facilities staff in 2017 BIF. For auditing purposes, all keys checked out must be done so on a sign out sheet and signed back in following the event.
Student Reservations
Registered Student Organizations (RSO) may reserve Gies space by following campus scheduling policies and procedures. All event requests are submitted to the Student Engagement office by the RSO through OneIllinois and must be approved before space can be secured. Requests for RSO space must be requested via the RSO and not college departmental units. Learn more.
Non-Gies Space Requests
Due to the high demand on space by Gies College of Business for classes, exams, review sessions, guest speakers and additional events, the College does not reserve space for outside of college events.
F&S Service Requests
Larger events may require set up and reset support from F&S Public Functions. Contact Paul Jensen for items including:
- space set up,
- tables, chairs, rugs, and garbage cans,
- ADA ramps,
- electrical/sound support,
- and more.
When emailing Paul, include a layout with detailed notes, the event start and end times, and the billing account information. Paul will create the work order and provide confirmation for the host to review. A copy of the work order needs to be provided to reservations@business.illinois.edu.

Americans with Disabilities Act (Accessibility and Accommodations Division) - Office for Access and Equity
- All events must provide an environment that is able to be utilized by all. Accommodations may be required.
- Event notices need to include the following statement: “If you will need disability-related accommodations to participate in this program/event, please contact (name, host department) at (phone number, e-mail). Early requests are strongly encouraged to allow sufficient time to meet your access needs.”
- ADA ramps can be reserved through Public Functions by contacting Paul Jensen.
- Aisles must have at least a 36-inch clearance.
- Utilize campus accessibility resources and UIUC Facility Access Maps to learn more.
Technology
- BIF
- All spaces in BIF have technology provided and serviced by Gies IT Partners (ITP).
- An authorized i-Card is required to access the podium. Gies faculty and staff should contact Gies Facilities for access permissions and/or if there is an issue with the i-Card not working properly.
- Each semester training sessions are provided by ITP prior to classes beginning.

- Wohlers Hall
- Classrooms 152, 240, 241, and 243 along with meeting rooms 260, 343L, and 370 have technology provided and serviced by Gies IT Partners (ITP).
- Classrooms 130, 138, 141, 166, 170, 174, 226, 236, and 245 have campus Technology Services equipment. Reference Technology Enhanced Classrooms, Wohlers Hall Room List.

Parking
Parking is available for a fee at meters, located on the streets or in the library parking lot. View the Campus Parking Map to learn more.
Meter bags may be purchased for daily use from the Parking Division.
Irwin Doctoral Study Hall
Irwin Doctoral Study Hall space is designated space for Gies PhD students only.
Reflection Rooms
- There are several spaces in the Business Instructional Facility that may be used for prayer, meditation, or contemplation. They are available on a first come, first served basis.
- 2010A in the men’s restroom, north side of building
- 2013A and 3013A in the women’s restrooms on the north side of the building
- TalkBox units, located on the east side of the Business Instructional Facility by office 3029.
- There will be a reflection room in the new Steven S. Wymer Hall. A foot-washing station will be located near the reflection room.
- Visit Religious, Spiritual, and Secular Inclusion at Illinois to locate alternative spaces on campus and learn more about religious accommodations.
Talk Box Booths
There are two TalkBox booths located on the east side of the Business Instructional Facility by office 3029. One booth is a two-person unit, and one booth is a single-person unit. Both are available on a first come, first served basis. Please be sure the space is clean and trash removed when finished using the space. Note – The walls are not writing surfaces.
Showers
Showers are available to Gies faculty and staff via swipe card access. The faculty/staff member must provide their own toiletries, towel and shower shoes. Please see Gies Facilities team in 2017 BIF for access.
